BOOKING TERMS & CONDITIONS

These Terms & Conditions apply to bookings for training provided by Insolent Retinue.
Please read them before making a booking. By completing a booking, you agree to these terms.
1. ABOUT INSOLENT RETINUE
Insolent Retinue provides actor training focused on event theatre, immersive performance, improvisation, character, storytelling, audience interaction and ensemble performance.
For the purposes of these terms, “we”, “us” and “our” refer to Insolent Retinue. “You” and “participant” refer to the person attending the training.
If somebody makes a booking on behalf of another participant, they are responsible for making sure that participant has read and accepted these terms.
2. ELIGIBILITY
Participants must be aged 18 or over at the beginning of the Block.
Insolent Retinue training is intended for people with some previous acting or performance experience.
Professional acting credits, formal drama-school training and previous event-theatre experience are not required.
If you're unsure whether a Block is suitable for your level of experience, please contact us before booking.
3. WHAT YOU ARE BOOKING
Unless otherwise stated, an Insolent Retinue Block consists of four connected training sessions.
Your booking is for the complete Block rather than four individual classes.
The sessions form part of an unfolding training experience. Characters, relationships, information and story elements may develop from one session to the next.
The dates, times, venue, price and other details applying to a particular Block will be shown on the booking page before payment is made.
Please check these details carefully before completing your booking.
4. PAYMENT AND CONFIRMATION
Your place is not confirmed until the required payment has been successfully received and you have received confirmation of your booking.
The total price and any applicable charges will be shown before you complete payment.
We will not add optional charges without your agreement.
Please keep your booking confirmation for your records.
5. ATTENDING THE SESSIONS
Because the sessions within a Block are connected, participants are expected to make every reasonable effort to attend all four sessions.
If you know before booking that you will be unable to attend one of the advertised sessions, please contact us before booking.
If you unexpectedly become unable to attend a session after the Block has begun, please let us know as soon as reasonably possible.
Missing a session does not automatically entitle you to a refund, credit or replacement session.
Where practical, we will help you understand any essential information required to re-join the Block, but we cannot guarantee that material, exercises or experiences from a missed session can be recreated.
6. CANCELLING YOUR BOOKING
If you need to cancel your place, please contact us as soon as possible.
Any refund or amount retained following your cancellation will depend upon the circumstances, including how much notice you give us, costs we have already reasonably incurred and whether we are reasonably able to fill your place.
We will not impose a cancellation charge that is disproportionate to the loss reasonably resulting from your cancellation.
Where we are able to fill your cancelled place, this will be taken into account when determining any amount retained.
Any refund due will normally be returned using the original payment method.
Nothing in these terms affects any cancellation or refund rights you may have under applicable consumer law.
7. TRANSFERRING YOUR PLACE
If you can no longer attend, please contact us rather than giving or selling your place to somebody else.
Places cannot be transferred to another person without our agreement.
Where circumstances allow, we may agree to transfer your booking to another suitable participant or, at our discretion, towards a future Block.
We cannot guarantee that a transfer will be possible.
8. MISSED SESSIONS
If you miss an individual session but continue with the remainder of the Block, we will not normally provide a partial refund for the missed session.
This is because the booking is for the complete Block rather than individual sessions.
This does not affect your statutory rights or any rights you may have where a session has not been provided as agreed.
9. CHANGES MADE BY INSOLENT RETINUE
Occasionally circumstances may require us to make reasonable changes to a session.
These could include changes to the room, training content, facilitator or other practical arrangements.
We will avoid making significant changes unnecessarily and will tell participants about material changes as soon as reasonably possible.
If we need to change the date, time or venue substantially and the new arrangement means you cannot reasonably attend, we will discuss the available options with you, which may include a transfer or appropriate refund.
10. CANCELLATION BY INSOLENT RETINUE
We reserve the right to postpone or cancel a session or Block where reasonably necessary, including because of facilitator illness, venue problems, insufficient enrolment, safety concerns or circumstances outside our reasonable control.
If we cancel an individual session, we will normally seek to rearrange it.
If we cancel an entire Block before it begins and cannot offer a suitable alternative, you will receive a refund of the amount you paid for that Block.
If a Block has already begun and we are unable to provide the remaining sessions, we will consider the services already provided and refund any appropriate amount relating to training that cannot be provided.
We will contact affected participants as soon as reasonably possible.
11. PARTICIPANT CONDUCT
Insolent Retinue aims to provide a professional, creative and supportive training environment.
Participants are expected to treat fellow performers, facilitators, venue staff and other people involved in the training with respect.
Discriminatory, threatening, abusive, harassing or deliberately disruptive behaviour will not be accepted.
Participants must also follow reasonable instructions relating to the safe running of the session.
In serious circumstances, or where behaviour continues after an appropriate warning, we may ask a participant to leave a session or withdraw from the remainder of a Block.
Any decision concerning a refund in these circumstances will take account of the particular circumstances and applicable consumer law.
12. PHYSICAL PARTICIPATION AND SAFETY
Event-theatre training may involve movement, improvisation, interaction with other performers and practical performance exercises.
You are responsible for following reasonable safety instructions and for working within your own capabilities.
You should tell the facilitator if you are unable or do not wish to take part in a particular physical exercise.
We may adapt or stop an activity where we reasonably believe there is a risk to the safety or wellbeing of participants.
Nothing in these terms excludes or restricts liability where it would be unlawful for us to do so.
13. ACCESS
We want our training to be as accessible as reasonably possible.
If you have an access requirement or require a reasonable adjustment to participate, please contact us before the Block where possible.
We will discuss your requirements with you and consider what reasonable adjustments can be made.
14. PHOTOGRAPHY AND FILMING
We may occasionally wish to photograph or film parts of a training session for use on the Insolent Retinue website, social media or other promotional material.
We will not assume that participation in training constitutes consent to appear in promotional photography or video.
Where identifiable participants are being photographed or filmed for promotional use, we will explain what is being recorded and obtain appropriate consent.
Choosing not to appear in promotional photography or filming will not affect your ability to participate in the training.
15. PERSONAL BELONGINGS
Please take reasonable care of your belongings while attending training.
We cannot accept responsibility for loss of or damage to personal belongings unless that loss or damage results from something for which we are legally responsible.
16. TRAINING MATERIALS
Training materials supplied by Insolent Retinue, including original stories, character information, exercises, written resources and other materials, may be protected by copyright.
They are provided for your personal participation in and development through the training.
Unless we give permission, they should not be reproduced, published, sold, distributed or used to deliver another commercial training or performance activity.
You are, of course, free to use the skills and techniques you develop through the training in your own acting and performance work.
17. STORY INFORMATION AND SPOILERS
Some Insolent Retinue Blocks use an unfolding story in which participants receive information at different stages.
We may ask participants not to reveal particular story details publicly while a Block is running or where doing so could spoil the experience for future participants.
We ask you to respect those requests.
Nothing prevents you from talking about your experience of the training generally.
18. PROFESSIONAL OPPORTUNITIES
Participation in Insolent Retinue training does not guarantee employment, representation, an audition or paid performance work.
Insolent Retinue is not an employment agency.
We may develop relationships with professional event companies and may occasionally make performers aware of relevant opportunities or introduce performers to third parties.
Any decision to audition, engage or employ a performer remains subject to the requirements and decisions of the organisation offering the opportunity.
Professional performers may also introduce themselves to Insolent Retinue without being required to purchase training.
19. OUR RESPONSIBILITY
We will provide our training with reasonable care and skill.
Nothing in these Terms & Conditions excludes or limits rights or remedies that cannot legally be excluded, including your statutory consumer rights.
Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded.
20. EVENTS OUTSIDE OUR CONTROL
Sometimes an event outside our reasonable control may prevent or substantially affect a training session.
Examples could include severe weather, disruption to the venue, transport disruption, public emergencies or other circumstances that could not reasonably have been anticipated or avoided.
Where this happens, we will make reasonable efforts to minimise disruption and will contact participants about alternative arrangements where appropriate.
This section does not remove any rights you may have under consumer law where contracted services cannot be provided.
21. PRIVACY
We need to collect and use certain personal information in order to administer bookings and provide the training.
Information about how we collect, use and protect personal information is contained in our Privacy Policy.
Any marketing communications will be handled separately from essential communications concerning your booking.
22. COMPLAINTS
If something hasn't gone as expected, please contact us.
We would like the opportunity to understand the problem and, where possible, resolve it fairly.
Complaints should initially be made using the contact details published on the Insolent Retinue website.
23. CHANGES TO THESE TERMS
We may update these Terms & Conditions from time to time.
The terms that apply to your booking will normally be those published and brought to your attention when you make that booking.
Any later changes will not remove rights you already have under an existing booking.
24. GOVERNING LAW
These Terms & Conditions are governed by the laws of England and Wales.
Nothing in this section prevents a consumer from relying on any mandatory legal protections or rights concerning where proceedings may be brought.

PARTICIPANT WELFARE & SAFEGUARDING POLICY

1. OUR COMMITMENT
Insolent Retinue is committed to providing a training environment in which participants can work creatively, confidently and safely.
Event theatre asks performers to improvise, take creative risks, interact closely with other performers and respond to unpredictable situations. None of that requires participants to compromise their personal boundaries or accept behaviour that makes them feel unsafe.
We expect everyone involved with Insolent Retinue to treat one another with respect, professionalism and consideration.
2. WHO THIS POLICY APPLIES TO
Insolent Retinue training is for adults aged 18 and over.
This policy applies to participants, facilitators, administrators, visiting practitioners and anybody else involved in an Insolent Retinue training activity.
Where we refer to “participants”, the principles of respectful and appropriate behaviour apply equally to everybody involved.
3. A RESPECTFUL TRAINING ENVIRONMENT
Everyone taking part in Insolent Retinue training has the right to be treated with dignity and respect.
We will not tolerate bullying, harassment, intimidation, discrimination, threatening behaviour or unwanted sexual behaviour.
Participants should also respect differences in experience, confidence, background and performance style.
Training should challenge performers creatively.
It should not require people to tolerate inappropriate behaviour.
4. CONSENT AND PERSONAL BOUNDARIES
Acting and improvisation can involve physical proximity and, on occasion, physical contact.
Consent matters.
Participants should not assume that another performer is comfortable with physical contact simply because it takes place within a scene or improvisation.
Where an exercise involves planned physical contact, expectations should be established beforehand wherever reasonably possible.
Participants may communicate a personal boundary or decline particular physical contact without having to justify that decision.
Consent to one exercise, scene or form of contact does not automatically mean consent to another.
5. IMPROVISATION
Improvisation is unpredictable by its nature, but unpredictability is not an excuse for inappropriate behaviour.
Performers should remain aware of their scene partners and respond appropriately to verbal and non-verbal signals.
A participant may pause or stop an exercise if they feel unsafe or if a personal boundary has been crossed.
Facilitators may also pause or end an exercise where they believe this is appropriate.
Stopping a scene for a genuine welfare or safety reason is not a failure of improvisation.
6. CHARACTER IS NOT AN EXCUSE
Characters may disagree, argue, deceive one another or behave badly as part of a fictional story.
The distinction between character behaviour and performer behaviour must always remain clear.
Being “in character” does not justify deliberately intimidating another participant, ignoring an expressed boundary or introducing inappropriate physical or sexual behaviour into a scene.
The needs of the real people in the room take priority over the needs of fictional characters.
7. SENSITIVE MATERIAL
Event-theatre stories may occasionally involve themes such as crime, death, relationships, conflict, deception or other dramatic subject matter.
Where we know that training will involve particularly sensitive material, we will consider how it should be introduced and whether participants need appropriate information beforehand.
Participants are encouraged to speak privately with the facilitator if a particular exercise or subject creates a significant concern.
Where reasonably possible, an alternative approach will be considered without requiring the participant to disclose unnecessary personal information.
8. PHYSICAL SAFETY
Participants are expected to follow reasonable instructions intended to keep the training environment safe.
Activities involving physical movement should be approached with appropriate awareness of the room, furniture, other performers and individual capabilities.
Participants should work within their own physical limits and communicate if an activity needs to be adapted.
No participant should feel pressured to undertake physical activity they reasonably believe they cannot perform safely.
9. ALCOHOL AND DRUGS
Participants must be in a fit condition to take part safely and appropriately in training.
A participant who appears to be significantly impaired by alcohol, illegal drugs or another substance may be prevented from taking part where we reasonably believe their participation could create a safety or welfare concern.
10. CONFIDENTIALITY AND PERSONAL INFORMATION
Training can involve discussion, reflection and personal creative choices.
Participants should respect information shared by others within the training environment and should not unnecessarily disclose another participant's personal information outside the group.
This does not mean that genuine safeguarding or welfare concerns should be kept secret.
A participant should always feel able to raise a concern with Insolent Retinue.
11. PHOTOGRAPHY AND FILMING
Participants will not be expected to appear in promotional photography or filming simply because they have booked training.
Where identifiable participants are photographed or filmed for promotional purposes, appropriate consent will be sought.
Choosing not to appear in promotional material will not affect a participant's ability to take part in the training.
Participants should also respect one another's privacy when taking their own photographs or recordings.
12. RAISING A CONCERN
If something happens during an Insolent Retinue activity that makes you feel unsafe, uncomfortable or concerned, please tell us.
You can speak to the session facilitator at the time or contact Insolent Retinue privately afterwards.
You do not have to confront another participant yourself before raising a concern.
We will listen to concerns, take them seriously and consider an appropriate response.
Where possible and appropriate, information will be handled sensitively and shared only with those who reasonably need to know.
We cannot promise absolute confidentiality where information suggests that somebody may be at significant risk or where disclosure is otherwise required by law.
13. HOW WE WILL RESPOND
The appropriate response will depend on the circumstances.
It may include:

speaking privately with the people involved;

clarifying expectations or boundaries;
-
adapting an exercise;
-
giving an appropriate warning;
-
asking somebody to step out of an activity;
-
asking somebody to leave a session;
-
removing somebody from the remainder of a Block;
-
contacting the venue or another appropriate organisation; or
-
contacting emergency services or another relevant authority where there is an immediate or serious concern.
We will aim to respond proportionately to the circumstances while prioritising safety and welfare.
14. CONCERNS ABOUT A FACILITATOR OR INSOLENT RETINUE
This policy applies to the people running Insolent Retinue as well as participants.
If your concern relates to the person leading a session, you should raise it with another appropriate Insolent Retinue contact where possible.

Nobody should be disadvantaged for raising a genuine concern in good faith.
15. PARTICIPANT CONDUCT
We reserve the right to intervene where behaviour is seriously inappropriate, unsafe or disruptive.
In serious circumstances, a participant may be asked to leave a session or withdraw from the remainder of a Block.
Any decision concerning a refund following removal from training will be considered in accordance with our Booking Terms & Conditions and applicable consumer law.
16. EMERGENCIES
If somebody requires urgent medical attention or there is an immediate risk to someone's safety, the priority will be obtaining appropriate assistance.
This may include contacting the emergency services.
Where appropriate, we will also follow relevant procedures required by the venue in which the training is taking place.
17. REVIEWING THIS POLICY
We will review this policy periodically and when our training activities materially change.
We also welcome appropriate feedback from participants about the training environment and how it can be improved.

HEALTH & SAFETY POLICY

1. OUR COMMITMENT
Insolent Retinue is committed to providing training activities in an environment that is safe, appropriately managed and suitable for the work being undertaken.
Event-theatre training is practical by nature. Participants may move around a performance space, improvise with other performers, interact physically with their environment and take part in exercises that cannot always be predicted in exactly the same way as a conventional classroom activity.
Creative risk is part of the work.
Unnecessary physical risk isn't.
We will take reasonable and proportionate steps to identify hazards, manage risks and provide participants with appropriate information and instruction.
2. RESPONSIBILITY
Overall responsibility for health and safety within Insolent Retinue rests with:

Anyone leading an Insolent Retinue session also has responsibility for helping to maintain a safe training environment and responding appropriately to hazards or concerns that arise during the session.
Participants also have an important role.
Everyone taking part in training is expected to:

take reasonable care of themselves and others;

follow reasonable safety instructions;
-
use spaces and equipment appropriately;
-
tell the facilitator about hazards they notice;
-
avoid deliberately unsafe behaviour; and
-
work within their own capabilities.
Health and safety is a shared responsibility.
3. RISK ASSESSMENT
We will consider the risks associated with our training activities and take reasonable steps to control them.
Where appropriate, a risk assessment will be completed for a venue or activity before training takes place.
Risk assessments will consider matters such as:

the training space;
-
access and exits;
-
floors, furniture and obstacles;
-
movement exercises;
-
physical interaction;
-
equipment and props;
-
electrical equipment;
-
fire and emergency arrangements;
-
first aid;
-
accessibility;
-
lone working where relevant; and
-
any unusual activity introduced as part of a particular Block.
Risk assessments will be reviewed when circumstances materially change or where an incident indicates that existing arrangements should be reconsidered.
4. TRAINING VENUES
Before using a venue, we will take reasonable steps to satisfy ourselves that it is suitable for the planned activity.
We will consider the size and layout of the space, access, emergency exits and any obvious hazards relevant to the training.
Where a venue has its own health and safety, fire or emergency procedures, Insolent Retinue will cooperate with those arrangements.
Participants must follow reasonable instructions given by the venue or Insolent Retinue relating to safe use of the premises.
5. THE TRAINING SPACE
The working area should be kept reasonably clear of unnecessary hazards.
Furniture, bags, cables, props and other items should be positioned so that they do not create avoidable risks during practical work.
Where an exercise requires additional space, the facilitator should consider whether the room needs to be rearranged before the exercise begins.
Participants should not undertake running, climbing, lifting, staged fighting or other potentially hazardous activity unless it has been specifically introduced and appropriately managed as part of the session.
6. PHYSICAL ACTIVITY
Participants may be asked to take part in movement and practical performance exercises.
Nobody should undertake an activity that they reasonably believe they cannot perform safely.
Participants are encouraged to communicate with the facilitator if an exercise needs to be adapted.
Facilitators should consider the abilities of the group, the environment and the nature of an exercise when deciding how an activity should be conducted.
7. PHYSICAL CONTACT
Some acting and improvisation exercises may involve physical proximity or contact between performers.
Physical contact should be appropriate to the exercise and undertaken with proper consideration for consent, personal boundaries and safety.

8. PROPS AND EQUIPMENT
Any props or equipment used during training should be appropriate for the activity and used in a safe manner.
Participants must follow instructions relating to equipment supplied for a session.
Real weapons will not be used as performance props.
Any theatrical or imitation prop that could reasonably be mistaken for a weapon or present an increased risk will require specific consideration before use.
Participants should not introduce potentially dangerous items into an exercise without the facilitator's knowledge and agreement.
9. SLIPS, TRIPS AND FALLS
Performance work often involves moving through a space while concentrating on character, other performers or an unfolding scene.
Particular attention will therefore be paid to avoidable trip hazards.
Spills should be reported and dealt with promptly.
Bags, coats, cables and unused equipment should be kept away from the main working area and access routes wherever reasonably possible.
10. FIRE AND EMERGENCY PROCEDURES
At the beginning of activity at a venue, the person leading the session should be familiar with the relevant fire exits and emergency arrangements.
Emergency exits must be kept clear.
Where appropriate, participants will be made aware of relevant emergency procedures.
If an evacuation is required, participants must follow instructions from the venue, facilitator or emergency services and leave the building promptly.
Nobody should re-enter until authorised to do so.
11. FIRST AID AND ACCIDENTS
We will establish the first-aid arrangements applicable to the venue being used and ensure that facilitators know how appropriate assistance can be obtained.
All significant accidents, injuries and near misses occurring during an Insolent Retinue activity should be reported to the facilitator.
An appropriate record will be made where required.
Following an accident or significant near miss, we will consider whether changes are needed to the activity, venue arrangements or relevant risk assessment.
Where an injury requires emergency medical assistance, the emergency services will be contacted.
12. ACCESS AND INDIVIDUAL REQUIREMENTS
We want participants to be able to take part safely and meaningfully.
Participants are encouraged to tell us about an access requirement or adjustment that may affect their participation.
We do not need unnecessary medical information.
Where information is relevant to making a reasonable adjustment or safely managing an activity, we will discuss appropriate arrangements with the participant.
Personal information will be handled in accordance with our Privacy Policy.
13. ALCOHOL AND DRUGS
Participants and facilitators must be in a fit condition to take part safely.
Anyone who appears to be significantly impaired by alcohol, illegal drugs or another substance may be prevented from participating where their involvement could reasonably create a risk to themselves or somebody else.
14. ILLNESS
Participants should use reasonable judgement about attending training when unwell, particularly where an illness may present a significant risk to other people.
Where public-health guidance or venue requirements apply, we will take these into consideration.
If a participant becomes unwell during a session, the facilitator will respond according to the circumstances and seek appropriate assistance where necessary.
15. WORKING WITH AUDIENCES OR GUESTS
Some training activities may involve interaction with invited guests or other people acting as an audience.
Where this happens, the activity will be considered as part of the relevant risk assessment.
Performers should not be expected to tolerate unsafe, threatening or inappropriate behaviour simply because audience interaction forms part of event theatre.
A facilitator may intervene in or stop an interaction where necessary.
16. REPORTING A HAZARD OR CONCERN
If you notice something you believe could cause injury or create an unnecessary risk, tell the facilitator.
Participants should not assume somebody else has already reported it.
Where possible, an immediate hazard will be removed or controlled before the relevant activity continues.
17. INCIDENTS AND NEAR MISSES
We take near misses seriously as well as accidents.
A near miss may identify a problem before somebody is injured.
Where an incident or near miss indicates a weakness in our arrangements, we will consider what happened and make reasonable changes to reduce the likelihood of it happening again.
18. REVIEW
This Health & Safety Policy will be reviewed periodically and when:

our training activities materially change;
-
we begin using substantially different types of venues;
-
a significant accident or near miss occurs;
-
relevant guidance or legal requirements change; or
-
experience indicates that our arrangements should be improved.
